Coaches Club

Privacy policy.

Last updated 6 November 2026

Coaches Club is run by RISY ONLINE LTD, a company registered in Gibraltar (company number 124453), registered office G02 Eurocity, Gibraltar GX11 1AA. In this policy "we", "us" and "Coaches Club" mean RISY ONLINE LTD.

This policy explains what personal information we collect when you use coaches-club.com, register for one of our online classes, apply to work with us, become a client or join our community, and what we do with it. It is written in plain English on purpose. If anything is unclear, email [email protected] and a real person will answer.

1. Who this applies to

This policy covers everyone who visits our website, registers for a class, fills in a form, books a call, messages us, buys a programme or joins our community. It applies wherever you are, and it includes extra information for people in the United Kingdom, the United States (particularly California) and Australia.

Our services are for adults running a coaching business. We do not knowingly collect information from anyone under 18. If you think we have, email us and we will delete it.

2. What we collect

What you give us

  • Your name, email address and mobile number when you register for a class, download a guide, apply, book a call or message us.
  • Answers you give on our forms: for example your Instagram handle, how many followers you have, what you earn each month and what you want help with. We ask these so we can tell whether our programmes fit you.
  • What you tell us on calls, in emails, texts, WhatsApp messages and direct messages.
  • Payment and billing details when you buy from us. Card numbers go straight to our payment provider; we never see or store the full card number.
  • Anything you post inside our community (the Coaches Clubhouse) or share with us as a client, such as your results, screenshots and progress.

What we collect automatically

  • Technical information when you visit our site: your IP address, the device and browser you use, the pages you look at and roughly where you are. Some of this comes from cookies and the Meta pixel (see section 6).
  • Whether you opened or clicked an email or text we sent you.
  • Whether you showed up to a class, how long you stayed and what you typed in the chat or the questions box.
  • Calendar details when you book a call (the time you picked and the answers you gave on the booking page).

What we get from others

  • If you arrive from an Instagram, Facebook or other ad, Meta tells us which ad you clicked.
  • If you book through Calendly or register through WebinarJam, those tools pass your details to us.

We do not collect sensitive information such as health data, religion, sexuality or political views, and we ask you not to send it to us. If you mention something like this on a call, we do not record it in our systems.

4. Who we share it with

We never sell your personal information. We share it only with:

  • Our team. The coaches, sales team and assistants who look after you. They see what they need to do their job.
  • The tools we run the business on. These companies process your information on our behalf under contracts that limit what they can do with it:
    • GoHighLevel (HighLevel Inc., USA): our CRM, forms, email and text sending, booking pages and website hosting.
    • WebinarJam (Genesis Digital LLC, USA): class registration, reminders and the live room.
    • Calendly LLC (USA): call booking.
    • Meta Platforms (Ireland / USA): the Meta pixel, Instagram, Facebook and WhatsApp.
    • Circle Internet Inc. (USA): the Coaches Clubhouse community for clients.
    • Slack Technologies (USA): internal team alerts when you apply or book.
    • Google (USA): email and documents.
    • Our payment provider (for example Stripe) for payments and refunds.
    • DocuSign if you sign an agreement with us.
  • Professional advisers such as accountants and lawyers when we need them.
  • Authorities if the law requires it.

If we ever sell or restructure the business, your information may pass to the new owner under the same rules.

Inside the community and any WhatsApp group, other members can see what you post and, in WhatsApp, your phone number. Only post what you are happy for other members to see.

5. Where your information goes

We are based in Gibraltar and most of our tools are in the United States. That means your information crosses borders. When it does, we protect it like this:

  • From the UK: the UK treats Gibraltar as having adequate protection. For transfers to US providers we rely on the UK Extension to the EU-US Data Privacy Framework where the provider is certified, and otherwise on the UK International Data Transfer Agreement or standard contractual clauses with the UK addendum.
  • From Australia: we take reasonable steps to make sure overseas providers handle your information in line with the Australian Privacy Principles.
  • From the US: your information is handled by our providers in the US and by our team in Gibraltar and the UK.

6. Cookies and the Meta pixel

Our site uses cookies and similar tools:

  • Essential cookies that make the site, forms and booking pages work. These do not need your consent.
  • The Meta pixel. A small piece of code from Meta on our class pages and other pages. It tells Meta that you visited, which pages you saw and when you registered, so we can see whether our ads work, show you relevant ads on Facebook and Instagram, and reach people similar to our clients. Meta may match this to your Meta account if you have one and use it under its own privacy policy (facebook.com/privacy). The pixel only runs after you tap Accept on our cookie banner. If you tap Decline, or your browser sends a Global Privacy Control signal, it does not load. We remember your choice for 12 months, and you can change it any time with the "Cookie choices" link at the bottom of our pages.
  • Email and text tracking that tells us if a message was opened or a link clicked.

How to say no

  • Tap Decline on our cookie banner, or open "Cookie choices" in the footer of any page to change your answer.
  • Change your ad preferences at facebook.com/ads/preferences and in Instagram settings.
  • Block or delete cookies in your browser settings. The site still works; some things may be less convenient.
  • Turn on Global Privacy Control in your browser. We treat that signal as an opt-out of sharing (see section 10).
  • UK: youronlinechoices.eu lets you opt out of many ad networks at once.

7. Marketing, and how to stop it

If you register for a class or download a guide, we will email you about that class and, unless you say no, about our other classes, programmes and tips for coaches. Every email has an unsubscribe link. Every text has a STOP instruction: reply STOP and the texts stop. You can also email [email protected] with the word "unsubscribe".

We only text you if you gave us your mobile number and agreed to texts. Text reminders for a class you registered for count as part of the service, not marketing. Standard message rates may apply.

If you join a WhatsApp community, you can leave it at any time from inside WhatsApp.

Stopping marketing does not stop messages we have to send you as a client, such as receipts and changes to your programme.

8. How long we keep it

InformationHow long
Class registrations and reminders12 months after the class, then deleted unless you are still in touch with us
Leads and applications that do not become clients24 months after our last contact, then deleted or anonymised
Marketing listsUntil you unsubscribe; we keep a note that you unsubscribed so we do not contact you again
Client records (what you bought, your programme, check-ins)6 years after your programme ends, for tax and legal claims
Payment records6 years, as tax law requires
Call recordings, if a call is recorded (we tell you at the start)12 months
Community postsWhile you are a member; your account can be deleted on request
Website logs and pixel dataSet by the provider; typically up to 2 years

When we no longer need information we delete it or strip out anything that identifies you.

9. Your rights

Wherever you are, you can ask us to:

  • See the personal information we hold about you and get a copy.
  • Correct anything that is wrong.
  • Delete it, unless we have to keep it (for example tax records).
  • Stop using it for marketing, or object to other uses based on our legitimate interests.
  • Restrict what we do with it while a dispute is sorted out.
  • Move it to you or another provider in a usable format.
  • Withdraw consent where consent is what we rely on. This does not affect anything we did before.

Email [email protected]. We will check it is you (usually by replying to the email address we hold), and answer within one month (UK) or 45 days (California). We will never treat you differently for using your rights.

United Kingdom. You can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113. We would rather hear from you first.

Gibraltar. Our supervisory authority is the Gibraltar Regulatory Authority (gra.gi).

Australia. You can complain to the Office of the Australian Information Commissioner at oaic.gov.au.

10. If you live in California

We are a small business and currently below the thresholds that make the California Consumer Privacy Act apply to us. We follow its principles anyway.

  • What we collect: identifiers (name, email, phone, IP address), commercial information (what you bought), internet activity (pages viewed, ad clicks), professional information (your coaching business and earnings) and the inferences we draw from them (whether our programmes fit you).
  • We do not sell your personal information and have not in the last 12 months.
  • We "share" website activity with Meta for advertising, which California treats as cross-context behavioural advertising. You can opt out of this sharing by declining the Meta pixel on our cookie banner, turning on Global Privacy Control in your browser, or emailing [email protected] with the subject "Do not share".
  • You have the rights to know, delete, correct, opt out of sharing and not be discriminated against, as in section 9.
  • We do not collect "sensitive personal information" as California defines it.
  • You can use an authorised agent to make a request; we will ask for proof that you authorised them.

11. If you live in Australia

We handle your information in line with the Australian Privacy Principles, even where the Privacy Act's small business exemption might apply to us. We send marketing emails and texts only with your consent and with a working unsubscribe, as the Spam Act 2003 requires. If a data breach is likely to cause you serious harm, we will tell you and the OAIC. Your information is held overseas, mainly in the United States and Gibraltar (see section 5).

12. If you live in the United Kingdom

RISY ONLINE LTD is the controller of your information under UK GDPR. We are based outside the UK. Requests and questions about your information go to [email protected]. Our legal bases are set out in section 3 and your rights in section 9.

13. Keeping it safe

We use well-known providers with their own security teams, two-factor authentication on our accounts, and we limit who on our team can see what. No system is perfectly secure. If something goes wrong and your information is at risk, we will tell you and the relevant regulator as the law requires (within 72 hours to the ICO for UK data).

14. Changes to this policy

When we change this policy we update the date at the top. If a change matters to you (for example a new use of your information) we will email you about it.
